The Complete School Carnival Planning Guide for Phoenix-Area PTAs

A great school carnival can raise more in one evening than a year of bake sales — and West Valley schools run some of the best. AZ Party Oasis delivers to school events across Peoria, Glendale, and Surprise every carnival season, and this is the playbook we share with every PTA that calls us.

The timeline (start 8–10 weeks out)

  • 8–10 weeks: Pick the date. In the Phoenix area, carnival season is October–November and late February–April — you want 70s and 80s, not 105°. Friday evenings (4:30–8:00) outdraw Saturdays for most schools.
  • 6–8 weeks: Book your big rentals. Obstacle courses and popular combos disappear first on spring weekends — schools that book 6+ weeks out get first pick. Confirm the district's insurance requirements now (we provide a certificate naming the school as additional insured at no charge).
  • 4 weeks: Lock volunteers — you need 2 per inflatable per shift, plus ticket table. Order wristbands. Start weekly flyers home.
  • 1 week: Walk the field with your rental company's layout in hand. Confirm power access or generator plan.
  • Day of: Rentals arrive 1–2 hours before gates. The crew sets up, teaches your volunteers the rules for each unit, and tears down after close — your volunteers never touch equipment.

What to rent (by school size)

  • Small school (up to 300 students): 1 bounce house, 1 combo with slide, 1 game like a dunk tank, popcorn + snow cone machines.
  • Medium (300–600): 2 bounce houses (one toddler-only!), 1 large combo, 1 obstacle course — the single biggest line-generator at any carnival — plus dunk tank and concessions.
  • Large (600+): everything above, doubled on bounce houses, and consider the mechanical bull for the parents' corner — it's the best photo-op fundraiser we deliver.

Pro tip: a dedicated toddler zone (small bounce house, roped off, pre-K only) is the most-thanked decision every carnival chair makes.

The money math

Most schools charge $10–15 for an all-you-can-bounce wristband plus per-ticket games and food. A medium school with 350 attendees at $12 average clears the entire rental budget roughly 3–4x over. Ways to boost it:

  • Pre-sale wristbands at Friday pickup the week before ($10 pre-sale / $15 at the gate) — cash upfront and a guaranteed crowd.
  • Dunk tank the principal. Sell throws in advance by classroom; the winning class dunks first. Reliably a $300–500 item on its own.
  • Business sponsorships: local businesses pay $100–250 to put a banner on a unit. Six sponsors can cover your whole rental order.

Layout & safety notes (learned from hundreds of school events)

  • Put inflatables on grass, anchored — leave 10+ ft between units for lines.
  • Keep generators and blower cords behind units, coned off, out of walking paths.
  • Concessions go near the entrance (smell sells), inflatables at the far end — families walk past every booth twice.
  • One volunteer controls each entrance: count kids in, match sizes, enforce socks-only.
  • Have the district's COI requirements sent to your vendor at booking, not the week before — districts commonly require $1M liability with the school named as additional insured. We do this every week; it's a five-minute email.
